Home > Select Application Form Name > Evaluations > Auto Applicant Assignments
Open the application form from the Home page and the Evaluations menu will display it. Select the Auto Applicant Assignments option in the left sidebar menu.
- Step 1: Create Group(s)
Number of Group(s) to Create: Enter a numeric value to define the number of groups you want the system to create.
Group Name: Enter a descriptive name for the group(s). The system will automatically append sequential numbers to the Group Name, based on the number of groups you have set. Click Save & Next to move to the next step.
- Step 2: Assign Committee Member(s)
Select the committee(s) and auto-assign committee members to each group.
Note: The list “Filter Committee Member(s)” will fetch the user title from the setup user screen
Filter Committee Member(s): Click the field to display a list of all available committees. Select the committee(s) you need to pull and assign members to the new groups. Click the All button to select all committees in the list quickly. To deselect all selected committees, click the None button. Click Ok to save the committee(s) you have selected.
Committee Member(s) Selected: The total number of members from all selected committees will automatically populate after you click Ok in the previous step.
Click the Auto Assign Committee Member(s) to Group(s) button to assign the available members to each group.
Group Name: The name you provided for the group(s) followed by a sequential number based on the number of groups you defined in Step 1. The group name can be edited, if necessary.
No. of Assignments: Automatically updated when the Auto Assign Committee Member(s) to Group(s) button is clicked. The system attempts to evenly assign members to each group. Make changes to the number assigned to each group, if necessary.
Note: The sum of the values entered in all No. of Assignments fields should be equal to the value in the Total Committee Member(s) Selected field.
Click Save & Next to move to the next step.
- Step 3: Assign Applicants
Select the task and filter the applicants, as needed.
Select Task Name: Select from the list of available tasks based on the application selected.
Select Status: Applicants with any status are included by default (All) but you can change this by selecting a specific applicant status from the list.
Select Status Detail: Applicants with any value in the Status Detail field will be included by default (All) but you can select a specific Status Detail and only applicants with that value will be included in the results.
Filter By: Filter applicants by additional criteria. Please see the Filter Applicants article for more details.
- Custom Filter: Use to create multiple filter conditions to refine the list of applicants.
- Funds: Select specific fund(s) associated with the selected application and only applicants meeting the eligibility requirements for those funds will display.
Filter Applicants: Click this button to apply the filters and display the number of applicants available to be assigned.
Total Applicant(s) Selected: Displays the number of applicants available to be assigned and is automatically updated after the Filter Applicants button is clicked.
Once you have a set of applicants defined, you can proceed with the automatic assignment of applicants to the new groups.
Click the Auto Assign Applicant(s) to Group(s) button and the system will assign applicants to each group as evenly as possible.
You can change the value in the No. of Assignments fields as needed.
Note: The sum of the values entered in all No. of Assignments fields should be equal to the value in the Total Committee Member(s) Selected field.
Click Finish button to save the assignments. Click Previous button to go back to the previous step.
