Approve Applicants in the Manage Global Applicant Referrals Report
Administration > Manage Global Applicant Referrals > Approve or Approve and Send Email buttons
There are two buttons available to approve an applicant: Approve and Approve and Send Email.
Approve: Approves the selected applicant and changes the applicant's approval status to Approved but does not send the invite email to the applicant.
Important Note: If you do not set the Enable Applicant Referral Approval to No in the Administration > Manage Site Settings > Referral Settings, you are forcing the approval by the site administrator, and choose not to send the email upon approval, you will need to create another means of notifying the applicant they have been approved to apply.
Remember, an applicant that does not receive email notification of approval also does not receive the special link to start the application process.
Use the Approve button if:
a) You set the Manage Site Settings > Referral Settings > Enable Applicant Referral Approval to No and the applicant has already received the email. You do not want to resend the email but just mark the applicant approved.
b) You want to approve the applicant but do not want to send the email yet. You will notify the referee and they will notify the applicant. Once they notify the applicant, the applicant can begin the application process if the application is not private.
Note: If it is a private application and you did not send the email to apply in the referral process, the applicant will not be able to apply to this application. Email is the only way to receive the special apply link to them. The administrator will need to select the Approve and Send Email button for the applicant to receive the link or use the private Application Invitation functionality in the Administration dashboard to invite the applicant to a private application.
Approve and Send Email: Approves the applicant and sends the Application: Referral Invitation email inviting the applicant to apply. This email will include the special apply link so they can begin the application process. (Please review this email in the Notification Center for the application form for which you are inviting the applicant, to confirm it relays the appropriate message to the applicant(s).)
To approve an applicant, search for the applicant and then click the Select box to the left of the Application Name column. Click the Approve or Approve and Send Email button. (Select multiple applicants, as applicable.)
The Add Comment window will display. Enter a brief comment related to the approval. By default, this comment will not display for the applicant but will display in the Comments column in the report. To display the comment for the applicant, click the box for the Show to Applicant option.
Click Save.
- If you selected the Approve and Send Email button, the email will automatically be sent to the applicant.
- If you selected the Approve only button, an email will not be sent to the applicant.
- The Approval Status of the applicant will change to Approved.
- Any comments you entered will display in the Comments column.
